CCA FAME Monthly Meeting

Monday, Oct. 14, 2024 · 6:30 – 8:00 pm

Approval of Previous Minutes - (Motion - Peg , Second - JP)

Approval of Treasurer’s Report:  See at bottom of blog post.

  1. Financials

    1. Lynette to review Treasurer's Report

      1. Band $3K

      2. Choir $11K

        1. Invoice for $5K for uniforms. 

      3. General Fund $2.5K

        1. Lynette to separate these out between the various fundraising (mums, giving tree, etc). 

      4. Scholarships: waiting for checks to come in for May 2024 Recipients. 

      5. Have legal expenses, but this amount should go down now that Lynette is getting up to speed. 

    2. Update on the final amount raised from mum sale to benefit show choir

      1. $3.9K from the mums, minus the expense, $?? for final profit.

    3. Show Choir uniforms expense not reflected on reports - waiting for invoices

    4. Owner of Jon’s wants to do a sponsorship. Lisa will follow up on that sponsorship.

       

  2. Fundraising

    1. Fruit Sale Update-benefits general fund

      1. What businesses can we share the flier or the selling grid with?

        1. Lindsey to bring in the selling grid to Mr. Copeland tomorrow (10/15) so that students can take them home to help with sales. The selling grid has the QR code as well. 

        2. The goal is 600 items (ideally 1,200 items), but the super goal is 2,500.

        3. Lisa to talk to the Owner of Jon’s to see if the selling grid could be posted at Jon’s


    2. New Ideas

      1. Chuck a Puck-new discovery of tickets needed to be sold

        1. Tickets have to be sold by CCA to participate in Chuck-a-Puck. 

        2. If it is a Sunday game, we have to sell 30 tickets. CCA Fame would have to buy the tickets upfront at $15 a piece and resell at a decided amount. 

        3. We are not going to pursue this fundraiser at this time.

      2. What are we fundraising for?

        1. Band: New Uniforms and Percussion Instrument.

          1. Update from Mr. Daniel


          2. This(uniforms) will be purchased out of school funds and then if FAME wants to supplement it, they can. 

          3. This would be about a 3 year process. 

          4. This would be for the Marching Band only. 

          5. Color Guard uniforms are good, but we will have to purchase more as the Color Guard grows. 

          6. Additional Color Guard uniforms in the future will need to be supported by FAME funding. 

          7. A Color Guard Uniform Top is roughly $100.00 a piece (it can range from $90.00-200.00). The bottoms are provided by the student. Color Guard tops are not as durable as Marching Band uniforms, so they are replaced more often. 

          8. Color Guard Director (Emily) would like to have FAME provide a line item for them so that they can do Color Guard Fundraising as well.

        2. Larger percussion, so the need for additional percussion instruments has increased

          1. Ordering for both the Middle School and High School with the upcoming growth. 

          2. Mr. Copeland would like to add 1 more set (anything on wheels - timpani, etc.). 


          3. This is not an immediate need, but Copeland wanted to get this on our radar. 

          4. Copeland will get some quotes together and provide to FAME. 

          5. A majority of the cost will be provided by the Pebble Fund, but FAME will help supplement (⅔ Pebble Fund, ⅓ FAME, most likely).


        3. Choir: Mics

          1. Update from Mr. Daniel regarding mics and projector

          2. 24 Mics have been ordered and received. 

          3. Chris & Tracy will get these installed. 

          4. The plan is to give some of the old mics to the Middle School (amount not yet determined). 

          5. Projector will be about $50K to replace.

          6. Projector will be evaluated in Spring 2025.

          7. Projector will be about $50K to replace.


        4. Aramark Update

          1. Oct. 27 at Xtreme Arena

          2. This date is set. 

          3. We will be working at the Big Grove Grill. 

          4. Need 5 people (18yrs+).

          5. Time: 12:00-4:00pm(ish).

          6. $75 per person that works. 

          7. Tips will not need to be shared and can go straight to the fundraiser.


          8. Oct. 30th at Carver

            This will be a minimum of 6 people, but we should probably have 8 as this is our first time working.

          9. Time: 4:00pm-?

          10. $90 per person that works. 

          11. The stand would have to make $5K, and then we would make 10.5% of that. Lindsey to check if that is $5K-cost? 

        5. October 29th (CCAHS)

          4-6 people needed, report time 6:15pm


        6. Other ideas? - Tabled for the future since we are now in Carver

          1. Texas Roadhouse?

Events

  1. Update on Homecoming parade float/truck: 

    1. Need to think of who can drive starting in 2025.

    2. Fruit Snacks are still a good idea. 

      1. Used 18 boxes. 

      2. Next year we would probably need 30 boxes.

      3. JP to talk to Ben at Tiffin Fareway to see if they would donate some Fruit Snacks. 

      4. Might be able to get some donated fruit snacks from Costco. 

      5. Have the QR Code on the side of the truck because they couldn’t see at the back of the truck.  

  2. Update on Oktoberfest: See above

  3. Fall Play-Nov. 15

    1. Traveling show at the elementary schools prior to Friday.

  4. No meeting in Nov.

  5. Fruit Sales Pickup is December 13th from 4-7pm at CCAHS. 

  6. For concerts, FAME would like the half page print out stuffed into the program. 

    1. Send the information to the 6th Grade Band Teacher to get this incorporated. 

    2. For HS Choir, send the information to Tracy. 

  7. A huge THANK YOU from Mr. Copeland for the Marching Band season. 

  8. Ms. Berlin connected with Lindsey on the two speech events in January (1/20 & 1/25). 

    1. FAME to run concessions that day.

FAME Fine Arts Booster Club is a non-profit group committed to supporting education and activities in art, drama, speech, choir, and band for all Clear Creek Amana students, from kindergarten through 12th grade. Through our fundraising events and volunteer activities, we have been able to provide the district fine arts teachers with funds for needed supplies to enhance the fine art experiences offered to all CCA students.
